What AV Equipment Do I Need for a Conference?

The must-haves for any conference

All functions are unique, but no matter the size or scale there are a few key elements that all conferences need. We recommend you organise these devices to ensure a seamless event.

Microphones

If you have multiple speakers across the conference, then make sure you have enough microphones for everyone involved. This includes one for every person that could be speaking at one time, a microphone for the host, one for possible Q&As and spare ones just to be safe.

Projectors and screens

If you know the size and scale of your event you should be able to determine what types of projection and video required. For a large audience, you will want screens to display the stage to ensure guests at the back can see. You will also need to make sure that you choose the right type of projection, based on lighting and venue. This includes the type of natural lighting in the space, the necessary quality and the scale and size.

Stage lights

Of course, just as you need speakers to be heard, you need them to be seen. Make sure you have all lighting fixtures ready, and if you require changes in spotlights or want to add any mood lighting work with your event manager to arrange this.

Wireless connection

Make sure you consider connectivity available in your venue and what sort of bandwidth you will require throughout the event. There’s nothing worse than failed connection halfway through your function, so if you need consistent connection, make sure to prepare it before.

Adaptors

So naturally, you are going to have a lot of different connections and a lot of different equipment. To avoid fuses, manage cables and ensure you minimise technical issues you will want to have plenty of adaptors and cables at the ready.

Soundboards and video switches

Seamlessly switch between sound and video with the right equipment. Both devices give you control of volume, camera direction and recorded sound. You should have an event manager who monitors and manages both these devices while the event is running.
